Repeating a course
-
Updated: 2026-08-11 No ratings
In accordance with the current Academic Regulations of Adam Mickiewicz University and the guidelines of the Student Services Offices, the following rules apply:
- Course Limit: The Dean may authorize a student to retake courses while continuing their studies in a higher academic year for up to three courses.
- Formal requirement: To obtain such permission, you must submit an appropriate application to repeat failed courses while continuing your studies in the next academic year via the USOSweb system.
- Application deadline: The application must be submitted no later than 2 weeks after the end of the academic year or the extended exam session.
- Faculty restrictions: Please note that the program councils of individual degree programs may specify a list of courses that cannot be repeated under this procedure (so-called “mandatory courses”). However, such restrictions may not apply to more than half of all courses in the degree program.
- Financial matters: Retaking courses requires the payment of a fee, the amount of which is specified in separate regulations issued by the Rector.
- One-Time Rule: Courses that have already been repeated once may not be repeated a second time.
Important note: Please do not confuse an application to repeat a course with an application to transfer course credit to another semester.

To obtain this approval, you must first submit the appropriate application through the USOSweb system. Keep the following key rules in mind:
- Deadline: The application must be submitted within 2 weeks of the end of the exam session or extended exam session.
- Formal requirements: The dean may grant permission if you have no more than 3 failed courses.
- System entries: Before submitting your application, make sure that all failing grades for the courses you wish to retake are already listed in USOSweb.
- Fees: Please note that repeating courses is a paid service. The fee amount depends on the rates specified in the Rector’s Order in effect for the given academic year.
- Application review: Pay close attention to the type of application you select—repeating a course is a different procedure than transferring course credit to the next semester. Confusing these two options may prolong the processing time.
Good to know:
According to the AMU Study Regulations (§ 35, section 2), courses that have already been repeated once may not be repeated a second time. In addition, some program councils may specify a list of courses (no more than half of the program) that cannot be repeated while continuing studies in a higher year.
Legal basis: AMU Study Regulations (§ 34, § 35, § 36).

Yes, there is a fee for repeating courses at our University. The amount of these fees and the rules for paying them are strictly defined in the Rector’s regulation on fees for educational services, which is in effect for the specific academic year.
It is worth keeping in mind a few technical aspects related to this procedure:
- Fee Policy: A fee is charged for each course you must repeat due to unsatisfactory academic performance.
- Application in the system: To retake a course, you must submit the appropriate application in the USOSweb system.
- Deadlines: The application to repeat a course must be submitted within 2 weeks of the end of the exam period or extended exam period.
- Course limit: The dean may grant permission to continue studies in a higher academic year while repeating up to three courses.
Important note: Courses that are retaken must be successfully completed in their entirety during the upcoming academic year. A course that has already been retaken once cannot be retaken a second time.
Additional information: In the BOS Collegium Geographicum system, registration for a course being repeated by a student takes place only after the student has actually paid the applicable fee.

The rules regarding deadlines for submitting requests to retake courses (classes) are as follows:
- General deadline: The application must be submitted within 2 weeks of the end of the exam session or the end of the extended exam session.
- In accordance with the AMU Study Regulations: A student should submit the request no later than 14 days after the end of the academic year or the extended exam session (§ 35(1) of the Regulations).
- Important Faculty-Specific Exceptions: While this rule generally applies across most offices, there are some units where different provisions apply:
- Collegium Geographicum: The application must be submitted within 2 weeks of the end of the exam session or by the end of the extended exam session.
It is worth noting that at the Collegium Geographicum, once the extended exam session ends, students are no longer granted two additional weeks to submit their documents.
Good to know:
- The application to retake failed courses while continuing studies in the next academic year is submitted via the USOSweb system.
- The dean may authorize the retaking of up to three courses while continuing studies in the next academic year.
- Retaking courses requires payment of a fee in accordance with the Rector’s current regulation.
- Be sure not to confuse the application to retake courses with the application to transfer course credit to another semester.

No, that is not possible.
According to § 35(2) of the AMU Study Regulations, a course that has already been repeated once cannot be repeated a second time. You must pass the repeated course in its entirety during the upcoming academic year.
If you fail to pass the course again, you will not complete the semester or academic year within the prescribed timeframe. According to university regulations, failing to pass a stage of your studies provides the Dean with grounds to decide to remove you from the student roster.

No, not every course in the degree program can be repeated while simultaneously enrolling in a higher year.
According to the AMU Study Regulations, the following rules apply in this regard:
- Exemptions by the Program Council: The Program Council for a specific field of study has the right to specify a list of courses (so-called “core courses”) for which failure to pass prevents conditional enrollment in a higher year.
- Limit on Exemptions: However, this restriction is not unlimited—it cannot apply to more than half of all courses listed in your study program.
What other conditions must you meet to retake a course while advancing to the next academic year?
- Maximum of 3 courses: The dean may grant permission to continue studies in the next academic year while repeating up to three failed courses.
- One-time rule: A course that has already been repeated once cannot be repeated a second time.
- Application deadline: You must submit your application to retake a course while continuing your studies in the next academic year via the USOSweb system no later than 14 days (2 weeks) after the end of the exam session or extended exam session.
- Fees: Retaking a course due to unsatisfactory academic performance is a paid service in accordance with the Rector’s Order in effect for the given academic year.

No, under no circumstances should you copy or use the bank account number of a classmate.
Every student at UAM is assigned an individual, unique bank account number used to pay for educational services. If you make a transfer to another person’s account number, your payment will automatically be credited toward their outstanding balance, and your tuition will still appear as unpaid in the USOS system.
The university expressly states that it is not liable for the consequences of an incorrect allocation of a payment resulting from entering the wrong bank account number. Failure to make a timely payment to your own account in USOS will result in the accrual of statutory late payment interest and, in extreme cases, may serve as grounds for initiating the procedure to remove you from the student roster.
Where exactly can you find your account number?
- Log in to the USOSweb system (https://usosweb.amu.edu.pl).
- In the top menu, select the “For Everyone” tab.
- From the left-hand menu, select “Payments.”
- There you’ll see a list of your current financial obligations and your individual bank account number for payments.
Once assigned, your account number does not change each year while you are enrolled in the same degree program. You will receive a new account number only when you change your field of study or begin the next level of study (e.g., when you transition from a bachelor’s to a master’s program).

For a specific part-time degree program, the bank account number does not change. Students use the same individual account number for the entire duration of that stage of their education.
However, it is important to keep in mind a few significant exceptions:
- Change of major: Enrolling in a different major results in the assignment of a new bank account number.
- Change in degree level: At most faculties (e.g., Collegium Maius or the Faculty of Educational Studies), the account number changes when you begin a new degree level—this means that after completing your bachelor’s degree and starting your master’s program, you will receive a new account number.
- Change in study mode or specialization: In some cases (e.g., at the Faculty of Educational Studies), changing your study mode or specialization may also result in a change to the account used for payments.
Accounting accounts: Each program/level code may be assigned a separate accounting account.
Where can I find my account number?
You should always verify your current account number and outstanding balance in the USOSweb system. This information can be found under the “For Students” → “Payments” tab or in the section on bank details. In accordance with the AMU Study Regulations, students are required to pay all due fees on time.

You can extend (renew) your student ID entirely on your own and online. You don't need to go to the Student Services Office (BOS) for this, for example, to get a paper QR code.
All formalities related to extending the validity of your mLegitymacja are handled digitally:
- Issuing a certificate: The validity of your mLegitymacja is renewed electronically by issuing a new student certificate in the system.
- Generating the QR code: You complete the entire procedure yourself on the USOSweb portal ( FOR STUDENTS tab → mLegitymacja) by clicking the “Order mLegitymacja” button .
- Activation on your phone: After a few minutes, the option “Add ID to mObywatel” will appear in the same place on USOSweb — after clicking it, a QR code will appear on the screen; scan it directly with the mObywatel app on your phone to download the updated document.
A personal visit to the BOS is required only if you wish to renew your traditional plastic ID card (ELS), as this process requires physically affixing a new hologram and updating the data stored on the card’s chip.

Yes, § 2b of the AMU Academic Regulations directly and precisely defines the official obligations of every student. In accordance with these provisions, you are required, in particular, to:
- Conduct yourself in accordance with the content of the oath and other regulations in force at the University.
- Attend academic and organizational classes in accordance with your study program.
- Fulfilling your obligations to the university in a timely manner, which primarily includes registering for courses included in your study plan and paying the required fees.
- Notify the university of any changes to your personal information —you are required to report any changes to your first name, last name, residential address, mailing address, or identification document.
- To use your university email account for all official correspondence and internal university communications.
- Use the University Student Services System (USOS).
- Fulfill other obligations specified in separate regulations.
It is important to remember that failure to fulfill these obligations (e.g., failure to register for courses on time or falling behind on student fees) may result in administrative consequences, such as the accrual of interest, and in extreme cases, even the initiation of proceedings to remove the student from the student roster.

If you decide to withdraw from part-time studies during the semester, you must submit an official withdrawal statement. This statement must be submitted—under penalty of nullity— in writing to the appropriate Student Services Office (BOS) or electronically via the USOS system.
The date of submission of this document determines the final settlement of costs, as fees are calculated only up to and including the month in which the withdrawal is submitted. The rules for refunding paid fees depend on the timing of the withdrawal and the selected payment method:
- Before the start of studies: If you withdraw before the semester begins, you will receive a full (100%) refund of the fees paid.
- During the semester (semester fee): If you paid for the semester in a single lump sum in advance, the amount paid is subject to a proportional deduction of 1/4 for each month of study that has begun. The remaining, unused portion of the fee is refundable.
- During the semester (installment payment): If you chose to pay in installments, the installment paid for the month in which you submitted your withdrawal notice is non-refundable. Please also note that you are required to pay all outstanding and required fees up to and including the month in which you submit your withdrawal notice.
Any overpaid amounts will be automatically refunded to your bank account specified in the USOS system (in PLN) within 3 months from the date you submit your withdrawal notice or are officially removed from the student roster.

Yes, the university may increase tuition fees (for educational services) during the course of your studies; however, this option is subject to very strict and specific legal restrictions.
In accordance with the UAM Tuition Regulations and the template statement signed by students in the USOS system, the university must adhere to the following limits:
1. Strict limits on fee increases
- Frequency: Tuition fees may be increased only once per academic year.
- Inflation limit: The increase may not exceed the overall consumer price index for goods and services in the previous calendar year (this is the official inflation rate announced by the President of the Central Statistical Office).
- Maximum cumulative cap: Over the entire duration of your studies (until graduation), fees may not increase by more than 30% of their initial amount.
2. Exceptions to the Limits
The aforementioned restrictions (the GUS inflation limit and the 30% maximum threshold) do not apply to:
- Fees for courses not included in your degree program.
- Fees for the use of student housing (dormitories) and student cafeterias. Good to know: Dormitory rates are set annually before the start of the new academic year and cannot change during the academic year.
3. Formal Obligation Following a Fee Increase
If the university increases fees in accordance with the above regulations, you are required to resubmit a statement in the USOS system confirming that you have read and accepted the new payment terms. An up-to-date list of all required fees and payment deadlines is always available in your personal account on USOSweb.

According to the consolidated text of the AMU Study Regulations (§ 9), your degree program may not include more than:
- 5 exams in a single semester,
- 8 exams over the course of an entire academic year.
These limits do not include the diploma exam, which is governed by separate rules.

In accordance with the Adam Mickiewicz University Study Regulations (§ 47, section 1, point 1), it is possible to change your specialization within a given field of study. To apply for such a change, you must meet the following criteria:
- Completion of the first year of study: You may submit an application to change your major only after successfully completing the first year of a first- or second-cycle degree program (this also applies to single-cycle master’s programs).
- Dean’s Decision: Final approval for the change of specialization is granted by the Dean of your faculty. The decision is discretionary and depends, among other things, on the availability of spots in the selected specialization and the possibility of making up any differences in the curriculum.
How to Submit an Application: In accordance with the general rules for resolving student matters at Adam Mickiewicz University (UAM), applications regarding individual matters must be submitted electronically via the USOSweb system.
Steps for the student:
- Make sure you have successfully completed all courses required in the first-year curriculum.
- Log in to the USOSweb system.
- Go to the “For Students” section -> “Applications” and select the appropriate application addressed to the Dean or Associate Dean.
- Wait for the decision, which will also be delivered to you via the USOS system.

Yes, as a student, you can apply for short-term leave in the following situations:
- Permitted duration: This leave may be granted for a period not exceeding 2 months.
- Reasons for granting leave: The dean may approve leave in cases related to the course of study (e.g., domestic or international trips organized by the university, student government, or student organizations) and for justified personal or health-related reasons.
- Limit: Short-term leave related to trips organized by the university or student organizations may be taken no more than twice during the course of study at a given level.
- Impact on the course of study: A granted short-term leave of absence does not extend the deadline for completing a semester or academic year.
- Important rule: Leave is not granted retroactively.

It is possible to change one’s field of study, but a basic academic requirement must be met: students must first successfully complete the first year of a first- or second-cycle program or a unified master’s program. The decision in this matter is made by the relevant dean.
Key rules of the procedure:
- Application deadline: You may apply for a change after you have fully completed your first year of study.
- Decision-making authority: If you are transferring to a program offered by your home department, the decision is made by your Dean.
Changing faculties: If you are changing to a program offered by a different faculty, the final decision on admission is made by the Dean of the receiving faculty.
Local Differences in Procedures (Specifics of Individual Units):
It is worth noting that while the general framework is set by the Academic Regulations, individual offices and faculties may have additional procedural requirements:
- Collegium Novum: In addition to the Dean’s decision, additional approval from the Vice Director or the Head of the institute is required.
- Collegium Politicum: These matters are handled directly by the Vice Dean for Student Affairs.
Faculty of Educational Studies: In this office, the procedure always requires obtaining two approvals: from the Dean of the home faculty (the one you are leaving) and from the Dean of the receiving faculty.
Language Tip: Be sure to clearly justify your request in the application—clear and substantive reasoning is half the battle when communicating with the university administration!

A transfer between full-time and part-time programs may take place after successfully completing the first year of a first- or second-cycle program or a unified master’s program. Please keep the following two key rules in mind:
- Academic Performance: Transferring from part-time to full-time studies is possible only for students who achieve very good academic results.
- Decision-making: The decision in this matter is made by the dean. If the program you wish to transfer into is offered by a different faculty, the final decision is made by the dean of the receiving faculty.
How does this work at the Student Services Offices (BOS)?
Most units apply the above rules uniformly, but in some offices the procedure may follow a specific process:
Faculty of Educational Studies: The procedure requires approval from two people: the associate dean of your current program (where you are currently enrolled) and the associate dean of the receiving program (to which you wish to transfer).
Practical tip: You should submit your transfer application to the dean of the relevant faculty after successfully completing your first year of study. It’s a good idea to check with your Student Services Office (BOS) beforehand to see if the faculty in question has established any additional internal criteria regarding the required grade point average.

The decision to resume studies is made by the Dean upon the student’s written request. In accordance with the AMU Study Regulations and the procedures of the Student Services Offices (BOS), resuming studies under this procedure is possible if all of the following conditions are met:
- Passing all courses —you must have passed all courses required by your degree program.
- Submission of the thesis in the APD system —the thesis must be correctly entered into the Thesis Archive.
- Positive reviews —the thesis must receive positive evaluations from both your advisor and the reviewer.
Note: If one of the reviews is negative, the Dean may decide to admit you to the exam after consulting the second reviewer.
Important local notes (differences between departments):
Despite the general rules, some departments have additional requirements or clarifications:
- Collegium Heliodori Święcicki: Re-enrollment is permitted after failing the thesis seminar, and this option may be used only once.
- Collegium Historicum: This procedure applies when the only failed component of the program was the diploma seminar.
- Collegium Maius: Reinstatement must comply with § 63 of the Study Regulations, which specifies the conditions for admission to the exam in detail.
Applications for reinstatement must be submitted while you still have access to your student account.

Yes, that is possible. According to the AMU Study Regulations, the thesis defense must take place no later than 3 months after the date the thesis is submitted. The dean sets the date of the defense either on his or her own initiative or at the request of the thesis advisor.
However, if it becomes necessary to postpone this date:
- At the student’s request, the Dean may set a date for the thesis defense that exceeds the standard 3-month period.
- In the event of an unexcused failure to take the exam on the scheduled date, the Dean sets a second, final date.
- The retake exam may take place no earlier than 1 month and no later than 3 months after the date of the first exam.
Various (unique) answers:
Collegium Politicum: The advisor reports changes in the composition of the committee.
Linguistic tip: Remember to submit any requests to change the date in a formal letter (application) to the Dean. It is also a good idea to consult your advisor on such a decision, as they are often the ones who initiate the appointment of the committee members and the reviewer.

Yes, you can apply to have grades and ECTS credits from courses taken in another degree program or at another university transferred (recognized).
In accordance with the consolidated text of the AMU Study Regulations, this process is based on the following principles:
1. Recognition of Individual Courses (Transfer of Grades)
- Alignment of learning outcomes: To have a course transferred, you must confirm that the learning outcomes achieved are aligned. On this basis, the dean may—upon your request—grant credit for these courses and recognize the ECTS credits earned in another degree program or at another university. This also applies to situations not covered by prior exchange agreements between universities.
- Strict deadline: You must submit your request for course recognition no later than 14 days after the start of the semester.
- Grade Conversion: If grades from your previous program or university were assigned on a different scale, the dean will convert them to the grading scale in effect at UAM.
2. Credit for an Entire Semester or Academic Year
- Staged Credit Recognition: In particularly justified cases, the dean may grant credit for an entire semester or academic year based solely on coursework and exams completed at another university, in a different program, or at a different faculty.
- Curriculum Differences: If there are differences between your previous and current degree programs, the dean will designate courses to make up for these differences and set a deadline for their completion.

The appeal procedure you should follow depends on the nature of the matter to which the decision or ruling relates. There are three main appeal pathways at Adam Mickiewicz University (UAM):
1. Student matters (e.g., organization of studies, leaves of absence, course credits)
If the matter concerns your current course of study and the Dean has issued a written decision regarding your individual student matter with which you disagree:
- Who to appeal to: The appeal must be filed with the Rector.
- Deadline: You have 14 days from the date the decision was delivered.
- How to file: You must submit your appeal through the Dean who issued the decision (the Dean may attach their opinion on the matter to your appeal).
- Format: Typically, applications and decisions are processed electronically in the USOS system. In particularly justified cases, a written appeal with a return receipt is permitted.
2. Scholarship Matters, Financial Aid, and Dormitory Housing
Decisions to grant or deny financial aid are made in the first instance by the University Scholarship Committee (UKS), acting through its Faculty Subcommittees in the Student Services Offices. If you disagree with a scholarship decision:
- Who to appeal to: You may appeal to the Scholarship Appeals Committee (OKS).
- Deadline: You have 14 days from the date you acknowledge receipt (delivery) of the decision in the USOSweb system (you must first formally acknowledge receipt of the decision via the UPO confirmation).
- How to file: You must submit your appeal exclusively through the relevant UKS Faculty Subcommittee. The Subcommittee has 7 days to forward it, along with its opinion, to the OKS (unless it fully accepts your arguments and revises the decision on its own initiative).
- Format (very important formal requirements):
- In writing: Submit the appeal, signed by you, at your BOS or send it via traditional Poczta Polska mail.
- Electronically (ePUAP): Only as a PDF file bearing your trusted or qualified electronic signature, sent to the UAM electronic inbox.
- Important warning: Do not attach any documents to the appeal that you have already submitted via USOSweb. Appeals sent to a regular email address will not be processed!
3. Matters Regarding Tuition Fees and Tuition Waivers
Although applications for tuition fee exemptions are reviewed by the Dean, the formal decision on this matter is made by the Rector. If you disagree with the decision:
- You have the right to submit a request for reconsideration to the Rector within 14 days of the date the decision was delivered.
- Alternatively, you may file a complaint with the Provincial Administrative Court in Poznań (through the Rector) within 30 days of the decision’s delivery.
4. Matters Related to Erasmus+ Stays (Other Than the Application Process Itself)
For matters not directly related to the application process, you may submit a complaint or request in writing (with a justification) to the Erasmus+ Institutional Coordinator. The document must first be reviewed by your Faculty Coordinator. The matter will be reviewed within 14 calendar days.

If you believe that your exam was not conducted properly (i.e., you question the validity of its conduct), in accordance with the AMU Study Regulations, you have the right to request a review by a committee.
The procedure for submitting such a request and the rules for its review are as follows:
1. Where and how do you submit the request?
- Submission method: The request must be submitted electronically via the USOS system. Only in particularly justified cases may the dean grant permission to submit the request in another form (e.g., in writing).
- Strict deadline: You have 7 days from the date the disputed exam result is entered into the USOS system to submit your request. Missing this deadline will prevent you from pursuing this procedure.
2. Review of the Request and Organization of the Exam
- The Dean’s Decision: The Dean is required to decide on your request within 7 days of receiving it.
- If the dean approves the re-examination, they will specify its detailed conditions:
- Date: The exam must take place no earlier than 3 days and no later than 14 days from the date of the dean’s decision.
- Location and format: These are specified directly in the decision.
- Composition of the committee: The examination committee consists of: the dean (or a person authorized by the dean), the examiner who conducted the previous exam, and another specialist in the given subject or a related field.
3. Right to Have an Observer Present
To ensure complete impartiality, upon your explicit request, the committee examination may take place in the presence of an observer of your choice. You may appoint as an observer:
- an academic faculty member from your department,
- a student rights advocate,
- a representative of the student government.
4. Finality of the Grade
Please note that the decision made during the committee examination is final — the grade awarded through this process is definitive, and no further appeal may be filed against it.
What if you simply received a failing grade?
If you do not dispute the conduct of the exam itself, and the reason for your appeal is simply that you received a failing grade, the appropriate course of action is to submit a request for a committee-based course completion. This request must also be submitted within 7 days of the failing grade being entered into USOS. However, it’s important to note that if you exercise your right to a one-time makeup exam, you lose the option to apply for a committee-based course completion on that basis.

In accordance with the AMU Study Regulations, a long-term leave of absence from classes (known as a “dean’s leave”) is granted under the following conditions:
- Dean’s Decision: In particularly justified cases, the Dean grants permission for a leave of absence.
- Duration: A long-term leave of absence may be granted for a period not exceeding 12 months.
- Limit: You may take this type of leave—whether cumulative or as a single period—no more than twice during your entire course of study at a given level.
- Extension of Studies: Granting a long-term leave of absence always results in an extension of the planned graduation date.
- Class Participation: In justified cases, the Dean may grant permission for you to participate in specific classes and take designated assessments and exams while on leave.
- No Retroactive Effect: It is an absolute rule that leave of absence is not granted retroactively (§ 46 of the Regulations). All applications must be submitted via the USOSweb system before the start of the semester or term to which the leave of absence applies.

No, at Adam Mickiewicz University in Poznań (UAM), you cannot apply for a dean’s leave of absence (or any other type of leave) retroactively.
According to § 46 of the UAM Study Regulations, there is an absolute and strict rule: leave of absence is not granted retroactively.
You must submit all necessary paperwork and complete the relevant application in the USOSweb system before the start of the semester or period to which the leave applies. If your personal or health situation suddenly worsens during the course of classes, it is crucial to submit an application in USOSweb as soon as possible, because retroactive justification of absences through a leave of absence will not be possible.

Pregnant students and students who are parents at Adam Mickiewicz University (UAM) are entitled to special rights and types of leave that make it easier for them to continue their studies and balance them with their parental responsibilities:
1. Special leave from classes
The dean grants a pregnant student or a student who is a parent permission for a leave of absence from classes, which may take the form of a traditional leave of absence or a leave of absence that allows the student to participate in and take specific assessments and exams.
- Duration of the leave:
- Pregnant students: Leave is granted until the date of the child’s birth.
- Students who are parents: are granted a leave of absence for a period of up to 1 year. The application must be submitted within 1 year of the child’s birth.
- Possibility of extension: If the end of the leave falls during a semester, the leave may be extended until the end of that semester.
- No Retroactive Effect: As with other types of leave at UAM, the absolute rule applies that leave is not granted retroactively (§ 46)—the application must be submitted well in advance.
- Good to know: This leave stems directly from parental rights and, unlike long-term or short-term leave, does not require demonstrating a “particularly justified case.”
2. Individual Study Plan (IPS)
Pregnant students and students who are parents are entitled to pursue full-time studies under the Individual Study Plan (IPS).
- Benefits: IPS entitles you to participate in classes and complete them under conditions and by deadlines agreed upon individually with your instructors (within the limits of the given academic year). It may also grant you the right to be excused from attending certain classes; however, this does not exempt you from the obligation to pass them.
- Procedures: After obtaining approval from the dean, you have a maximum of 14 days to contact the course instructors to establish individual rules for participation and course completion.
3. Additional Rights, Benefits, and Support
- One-time financial aid: The birth of a child is considered a qualifying event for applying for a non-repayable, one-time grant from the scholarship fund due to a temporary difficult life situation. The application must be submitted via USOSweb along with a scanned copy of the child’s birth certificate.
- Family Housing in a Dormitory: A student or doctoral candidate has the right to apply for a place in the student dormitory for their non-working spouse and children as well.
- Higher Scholarship for Erasmus+ Trips: Students with a child under the age of 8 are considered “disadvantaged” under the Erasmus+ program. This entitles them to a fixed supplementary allowance of 250 EUR per month in addition to their scholarship for long-term stays.

As a general rule, while on long-term leave from classes (granted by the dean), you are exempt from participating in the teaching process. However, there is an exception to this rule—you may attend selected classes and take exams, provided you obtain the Dean’s approval.
To make this possible, you must complete the following formalities:
- Submit a written request (application) to the Dean via the USOSweb system.
- Demonstrate a particularly justified case and specify in the request the exact courses in which you wish to actively participate and for which you wish to earn course credits or take exams.
Please note that taking a long-term leave of absence always results in a corresponding extension of your planned graduation date.

Withdrawal and Reinstatement
-
Updated: 2026-08-14 No ratings
According to the Adam Mickiewicz University (UAM) Academic Regulations, decisions to expel a student from the university fall into two categories: mandatory (in which the dean has an absolute obligation to remove you from the student roster) and discretionary (in which the dean may make such a decision, but is not required to).
1. When is the dean REQUIRED to remove you from the student roster?
The dean is required to make a decision to remove you from the student roster in the following five situations:
- Failure to commence studies (e.g., failure to take the oath or failure to attend classes).
- Withdrawal from the program (submitted in writing to the Student Affairs Office or via the USOS system).
- Failure to submit the thesis by the deadline —this deadline typically falls on September 30 of the final semester of study (or March 31 in the case of 7-semester engineering programs).
- Failure to take the final exam by the deadline —for example, in the case of an unexcused failure to take a make-up exam by the final deadline.
- Imposition of the disciplinary penalty of expulsion from the university.
2. When MAY (but is not required to) the dean remove you from the student roster?
These are situations in which an investigation is initiated, and the decision depends on the dean’s assessment of your individual situation:
- Determination of non-attendance at required classes.
- Afinding of lack of academic progress.
- Failure to pass the semester or academic year by the specified deadline.
- Failure to pay tuition and other fees related to your studies (e.g., arrears in tuition for part-time studies).
What is the procedure for dismissal?
Dismissal never occurs automatically overnight. The dean must conduct an official proceeding:
- Initiation of proceedings: The Dean notifies you in writing of the initiation of the procedure and provides factual and legal grounds.
- Right to a Hearing: You have 14 days from receipt of the notice to submit your statement regarding the matter.
- Access to evidence: Before issuing a final decision, the university must give you at least 7 days to comment on the evidence and materials gathered.

In accordance with the Adam Mickiewicz University Study Regulations (§ 52), removal from the student roster by discretionary (optional) decision —that is, a decision in which the dean may, but is not required to, decide to remove a student from the university—may occur in four cases:
- Determination of non-attendance at required classes.
- Afinding of lack of academic progress.
- Failure to complete the semester or academic year within the specified timeframe.
- Failure to pay fees related to the course of study (e.g., overdue tuition).
Procedural Safeguards for Students
A decision to dismiss a student at the university’s discretion is not made automatically overnight. The university must conduct a formal investigation, during which you have certain rights:
- Initiation of proceedings: The procedure is officially initiated by the dean, who is required to notify you in writing.
- Content of the notice: The letter must include the name of the issuing authority, the date of issuance, your personal information, and a detailed factual and legal justification explaining the reason for initiating the procedure.
- Right to submit a statement: You will be informed of your right to present your position and submit a statement within 14 days of receiving the notice.
- Access to the evidence: Before issuing a final decision on expulsion, the dean must give you the opportunity to comment on the evidence and materials gathered, setting a deadline of at least 7 days for this.
The Difference Between a Discretionary and a Mandatory Decision
In the case of a discretionary decision, the dean takes your explanations and individual life circumstances into account and may decide not to expel you (e.g., by granting additional time to catch up on coursework or by allowing you to pay off your debt in installments).
By contrast, in situations specified in § 51 of the regulations (such as written withdrawal from studies, failure to enroll, failure to submit a thesis or take a graduation exam by the deadline, and disciplinary expulsion), the dean has no choice and is absolutely required to remove you from the student roster.

In the context of defending your rights (submitting explanations and appeals) in cases involving removal from the student roster, the consolidated text of the AMU Study Regulations guarantees you a precise, two-step protection procedure: before the dean makes a decision and after the decision is issued, if applicable.
1. First stage of defense—before a decision is made (explanations and access to the case file)
Before the university makes a final decision on removal from the student roster, the dean must conduct an official investigation, during which you have the full right to present your case:
- Initiation of proceedings: The circumstances justifying dismissal are always determined in a separate proceeding initiated by the dean, who will officially notify you of this.
- Detailed notification: The letter you receive must include the name of the initiating authority, the date of issuance, your personal information, a detailed factual and legal justification (the reason for initiating the procedure), and a statement of your right to submit a statement of defense, along with the deadline and procedure for doing so.
- Right to Submit Explanations (14 days): You have 14 days from the date of receiving the notice to present your position, arguments, or documents (e.g., medical or other relevant documents).
- Opportunity to Comment on the Evidence (at least 7 days): Before issuing a final decision, the dean is required to notify you of your right to comment on the evidence and materials gathered in the case. You have at least 7 days from the date of receiving this notice to do so.
2. Second stage of defense—after the decision to remove you from the student roster is issued (appeal)
If, following the investigation, the dean issues a decision to remove you from the student roster, you still have the right to appeal this decision:
- To whom to appeal: An appeal against the dean’s decision must be filed with the Rector.
- Strict deadline: You have 14 days from the date of effective service of the decision to remove you from the student roster to file an appeal.
- How to file: You must submit your appeal through the dean who issued the decision (the dean may attach his or her opinion on the matter to the appeal before forwarding the documents to the Rector).
- Format (USOS): As a general rule, students submit the request (appeal) electronically via the USOS system. Only in particularly justified cases is another form (e.g., traditional paper) permitted—in such cases, the dean’s decision is delivered in writing with a confirmation of receipt.

Resuming studies (reactivation) after being removed from the student roster at Adam Mickiewicz University (AMU) depends primarily on the stage of your studies at which the removal occurred and the purpose for which you wish to resume your studies. These rules are governed by the Academic Regulations and the AMU Tuition Fee Regulations:
1. Removal from the student roster in the first year versus in higher years
- Removal during the first year of study: If you were removed from the student roster before completing your first year, you cannot resume your studies. Re-admission to the university can only occur under the general admission rules (you must go through the university’s standard admission process again).
- Withdrawal after completing the first year: The Dean may, on a one-time basis, allow a student who has already completed at least the first year to resume their studies.
2. Conditions and Rules for Reinstatement (Dean’s Decision)
- In the decision to reinstate you, the Dean specifies the year (or semester) of study to which you are admitted.
- The Dean has the right to specify additional conditions for reinstatement. Most often, if the curriculum for your major has changed in the meantime, you will be required to make up any coursework resulting from differences in the curricula.
3. Reinstatement for the purpose of the thesis defense (diploma exam) only
If you have passed all your courses but were removed from the student roster for failing to submit your thesis or failing to take the defense, you may apply to resume your studies solely for the purpose of taking the diploma exam. To obtain such approval, you must meet all of the following conditions:
- Pass all courses and seminars in accordance with the study program.
- Submit (upload) your thesis to the APD system.
- Receive positive reviews of your thesis (from both your advisor and the reviewer). Exception: If one of the reviews is negative, the dean may admit you to the exam after consulting an additional, third reviewer.
4. Subsequent Dismissal and Re-enrollment
If you are removed from the program again after resuming your studies, returning to the university is much more difficult and depends on the type of program:
- Part-time studies: The decision is made by the dean. However, the dean may refuse to reinstate you if the previous withdrawal was due to a lack of academic progress or overdue tuition payments.
- Full-time studies: Reinstatement to full-time studies may occur only upon the decision of the Rector.
5. Formalities and Fees After Reinstatement
- Declaration in USOS: After resuming your studies, you are required to resubmit a Declaration of Acknowledgment and Acceptance of Tuition Payment Terms in the USOSweb system.
- Tuition Fees: You must pay the tuition fees applicable to the program cycle for which you are resuming your studies:
- In full, if after resuming your studies you are taking all courses included in the curriculum for that semester.
- On a pro-rata basis (based on ECTS credits or the number of hours) if you are taking only a portion of the courses. The amount of this fee is determined by the dean, and information regarding the amount and payment deadline will appear in USOSweb within 14 days of the decision to resume studies.

Updated: 2026-08-11 No ratings
In most cases, registration is done independently through the USOSweb system. The navigation path is as follows:
- For courses: For Students -> Registration -> Course Registration
- For exams: For Students -> Registration -> Exam Registration
- For courses (credit-based): For Students -> Registration -> Credit-Based Registrations
Important: Is your department an exception?
As many as one-third of student service offices use different procedures. Check if your unit is on the list below:
Unit / Location Registration Procedure Gniezno (IKE) Students do not register on their own. The USOS coordinator assigns you to groups automatically. Piła Course selection takes place via the Forms platform. Courses selected by a majority vote are added to your account by a BOS staff member. Collegium Novum Unit coordinators handle registration. If you have any questions, please contact them directly. Collegium Polonicum Class groups are created manually by BOS in collaboration with the coordinator. Collegium Historicum Course registration follows the standard procedure, but there is no exam registration in the system. Collegium Geographicum Registration in USOSweb is only available during designated periods. After these periods end, you must submit a request to the coordinator. Was this answer helpful? -

The general rule is simple: you must register for all courses that are required for your stage of study.
- Required courses: All courses that the system displays as required for a given semester according to your degree program.
- Elective courses: You must select a number of these courses that meets the requirements of your program (both in terms of the number of courses and ECTS credits).
Important exceptions—check with your department!
The procedure isn’t the same everywhere. Take note if you’re studying at one of the following locations:
Faculty Registration Rules Gniezno (IKE) You do not register on your own. The USOS coordinator automatically enrolls you in all courses. Faculty of Pedagogy and the Arts You should focus primarily on registering for courses marked as “elective” in the curriculum . The process for dropping a course depends on whether the registration “cart” is still open:
- During registration: If the registration period for a given course is still open, you can drop the course yourself with a single click in the USOSweb system (For Students tab -> My Registrations).
- After registration has closed: This is where things get complicated. You can no longer do this on your own with a single click and must go through the administrative process.
Where can you get help after registration closes?
Check with your department:

The main reason is that enrollment in courses (especially electives) is limited by the number of spots allocated to your specific degree program. In other words, the program sets a limit on the number of credits or courses you can take in a given semester, and the system ensures that you do not exceed it.
However, it’s worth noting that there is some variation at our university in this regard:
- General rule: Most departments adhere to a strict limit set by the degree program.
- Collegium Historicum: Here, the only restriction is usually the limit on the number of spots for a specific course—if there are open seats (even virtual ones), you can try to add yourself to the class.
- Collegium Maius: Students at this college have the most freedom, as the office states that there are no top-down restrictions on registration.
What should you keep in mind?
- Elective courses become required: Remember that once you’ve successfully registered for your dream elective, it becomes a required course that you must pass.
- Registration Requirement: You are required to register for all required courses and the number of electives specified by your degree program.
- Gniezno and Piła: If you’re a student in Gniezno or Piła, the process works differently (often coordinators add students to groups, or this is done via forms), so the system limits in USOS may not apply to you in the same way.

The main reason is that registration for a given course may be limited to only certain sections due to the division into groups. In this model, the system “sees” only part of your schedule, and once registration is complete, students are automatically enrolled in the remaining courses according to their selections.
It is worth noting, however, that this situation depends on your department, as many administrative offices follow different procedures. Here is how it works in specific departments:
- Automatic approach: At the Faculty of Pedagogy and Arts, courses without group divisions are automatically added by staff. Similarly, at Collegium Maius, groups for modular courses (continuations) are automatically assigned, and students are enrolled in seminars based on their advisors’ lists.
- Full visibility: At the Collegium Historicum, Chemicum, Politicum and Rubrum, you should be able to see all courses and register for them on your own.
- Specific to Gniezno: In this unit, this issue does not arise at all (not applicable).
What to do if courses are missing?
- Check the study program: Make sure the course in question is supposed to be available this specific semester.
- Contact the appropriate person: Seek assistance from the USOS system coordinator.
- Be patient (sometimes): If your department uses a “course assignment” model after registration, missing courses will only appear in the system after group registration has closed.
Remember that timely registration for classes is your responsibility under the Academic Regulations. If you have any doubts about the course completion requirements, you can always consult the syllabus, which should be published before the start of the academic year.

The process for registering for conditional courses (also known as repeat courses) varies by faculty, as the procedure differs in most offices. Below you will find detailed instructions for each unit:
- Ogrody Campus: Registration takes place through the Faculty Service Office (BOW).
- Faculty of Educational Studies: These courses are referred to as “repeat courses.” To register, you must go to the Student Services Office (BOS).
- Collegium Geographicum: A BOS staff member will process the registration after the student pays the fee for the repeated course.
- Collegium Biologicum: Students must come in person to the BOS office, where staff will enter the information into the system.
- Faculty of Pedagogy and the Arts: A BOS staff member adds and links the courses after the student obtains the Vice Dean’s approval for conditional completion of the academic year.
- Collegium Heliodori Święcicki: Use the registration form provided by the USOS coordinators—they will handle the registration.
- Collegium Mathematicum: Registration can be done independently in the USOSweb system or by contacting the BOS.
- Collegium Politicum: Full-time students register on their own, while part-time students are registered by the USOS Coordinator.
- Collegium Maius: Students must contact the USOS Coordinator (full-time programs) or the BOS (part-time programs).
- Collegium Chemicum: Registration is handled by the USOS Coordinator.
- Collegium Adalbertinum: Registration is performed by a BOS or BOW staff member.
- Collegium Novum: This procedure is handled by the USOS coordinators at the respective units.
- Gniezno / Piła: According to information from these units, registration for prerequisite courses does not apply to them or is not conducted in this manner.
Good to Know: According to the AMU Study Regulations, the Dean may allow a student to repeat courses while continuing their studies in the next academic year if the number of failed courses does not exceed three. A request to repeat a course must be submitted via the USOSweb system within 14 days of the end of the exam period or extended exam period. Repeating a course requires the payment of a fee.

This situation is handled on a case-by-case basis by the various units of the university.
Below you will find step-by-step instructions depending on your faculty or college:
- Contact the Student Services Office (BOS) or your Faculty Office (BOW): this applies to students at the Ogrody Campus, Collegium Mathematicum, Collegium Historicum, Collegium Rubrum (an application must be submitted), and Collegium Adalbertinum.
- Contact the USOS Coordinator: if you are studying at Collegium Physicum, Collegium Heliodori Święcicki, Collegium Chemicum, Collegium Politicum, or Collegium Maius, you should direct your request directly to the USOS coordinator or their support staff.
- Submit an official application via USOSweb: at the Faculty of Pedagogy and Arts, you must submit your application to the Vice Dean for Student Affairs and Education through the USOSweb system.
- Send an email from your student email account: at the Faculty of Educational Studies, you must send an email from your official student account to BOS.
- Submit your application to the coordinator: at the Collegium Geographicum, you must submit an application to register for specific courses to the USOS system coordinator working at the BOS.
- Visit the office in person: At the Collegium Biologicum, students should come to BOS, where staff will register them for courses.
Important notes:
- At Collegium Novum, registration is handled by coordinators in individual departments, so BOS staff may not always be aware of current enrollment status.
- At the centers in Piła and Gniezno, this issue does not arise because there is no standard registration process, and students are added to groups directly by the coordinator.
Remember to always use your student email address (in the @st.amu.edu.pl domain) when contacting the office.

The delay in data visibility is due to the fact that the USOSweb system does not update in real time.
Any changes, evaluations, decisions, or status updates made by Student Services Office (BOS) staff will not be visible to you until the following day. This is because all data undergoes a database migration and synchronization process, which at UAM takes place automatically overnight.
Therefore, if a BOS staff member has informed you of a change in the system, simply wait until the morning of the next day to verify the updated status in your account.

- Log in to your USOSweb account.
- Go to the FOR STUDENTS tab ➔ mID Card.
- Click the “Order mID Card” button .
- Wait a moment (usually just a few minutes) for the certificate to be generated. Once the process is complete, the “Add ID to mObywatel” button will appear on the screen—click it.
- A one-time QR code and an activation code will appear on your computer screen.
- Open the mObywatel app on your smartphone, select the option to add a new document (mLegitymacja student ID), and scan the generated QR code. Once scanned successfully, the document will be downloaded and ready to use.
Important additional information:
- When can you request the document? This option will appear in the system only after the academic year has officially begun (i.e., no earlier than October 1) and after you have taken and signed the oath.
- Who is eligible? The mLegitymacja mobile student ID is issued completely free of charge to every student who has a national PESEL number.

"Linking" a course in the USOSweb system means assigning each course you have completed to a specific program and stage of your studies (e.g., a particular semester or academic year).
Why are these assignments important?
They are a prerequisite for the proper completion of your academic stage and the closing of the semester by your Student Services Office (BOS). Without properly completed assignments, the system will not allow office staff to verify your progress and successfully complete the semester, even if you have all your grades entered.
How and when should you complete course linkings?
- Where to do it: You complete course linkings entirely on your own after logging into the USOSweb system by going to the student section: For Students ➔ Course Linkings.
- When: Typically, this should be done after course registration is complete or before the exam period begins. It is a strict rule at UAM to complete course linkings by the end of the teaching period (i.e., by the last day of lectures in a given summer or winter semester).
Detailed instructions can be found on the USOSdocs website.
Important faculty-specific exceptions:
It is worth noting that some units have their own rules:
- At Collegium Heliodori Święcicki, the exact and final deadlines for completing course registration are published directly in the USOSweb system.
- This process does not directly apply to students in Gniezno (IKE) —there, course registration is typically coordinated and handled by office staff.

Trip
-
Updated: 2026-08-13 1 change introduced No ratings
AMU students who meet the following criteria may apply for a mobility (both long- and short-term) for studies or traineeships under the Erasmus+ program:
- Student status: Are enrolled in first-cycle, second-cycle, long-cycle Master's programs, or are doctoral students.
- Minimum stage of studies: At the time of application, are enrolled at least in the 1st year of first-cycle studies.
- Language proficiency: Have documented foreign language proficiency at a level complying with the requirements set by the receiving institution.
- Application submission: Fill out and submit an online application form along with the required attachments within the specified deadline and format.
Mobility for graduates (traineeships only)
Applications for traineeships can also be submitted by AMU graduates, provided that:
- They have completed first-cycle, second-cycle, long-cycle Master's, or doctoral studies.
- Key formal requirement: They complete the recruitment procedure and submit their application while still being enrolled as students in their final year of studies.
- The foreign traineeship is fully carried out and completed within 12 months from the date of graduation.
Important restrictions and qualification rules
- Mobility limit (mobility capital): Under the Erasmus+ program, you can spend a total maximum of 12 months abroad per cycle of study (or 24 months in the case of long-cycle Master's degree programs). A traineeship completed as a graduate counts toward the mobility limit of the degree cycle just finished.
- Priority rule: Priority during recruitment is given to students who have not previously participated in study abroad mobilities under the LLP-Erasmus and Erasmus+ programs.
- Prohibition of academic leave: While receiving a scholarship (for studies or traineeships), taking a leave of absence (academic leave) or having a formal break in studies is not permitted.

The length of your stay under the Erasmus+ program depends on the type of mobility you choose and on your “mobility capital”—that is, the total amount of time you can spend abroad at a given level of study.
1. Duration of a single stay
- Long-term physical mobility (for studies or internships): The stay can last from 2 to 12 months (excluding travel time).
- Short-term blended mobility (for studies or internships): combines a physical stay abroad with a mandatory virtual component. The physical portion lasts from 5 to 30 days (excluding travel time). Good to know: Although the stay may last up to 30 days, Adam Mickiewicz University (UAM) funds short-term mobility for a maximum of 14 days—any additional days are treated as a period with “zero funding.”
- Short-term mobility for doctoral students (for studies or internships): lasts from 5 to 30 days (excluding travel time).
2. Total limit on trips (Mobility Capital)
Under the Erasmus+ program, you are subject to general time limits for scholarship-funded stays, which are cumulative within a given stage of education:
- At each level of study (bachelor’s, master’s, or doctoral studies), you may spend a total of up to 12 months abroad.
- For integrated master’s programs, this limit is a maximum of 24 months.
- These limits are independent of the number and type of stays (for example, you can divide this time between a study abroad stay and an internship). Stays with so-called “zero funding” are also strictly included in the limit.
3. Stays for Graduates (for Internships Only)
If you plan to go abroad for an internship as a graduate (remember that you must complete the application process while still a senior):
- You must complete your internship abroad within 12 months of the date you graduate.

No, while studying or participating in an internship abroad as part of the Erasmus+ program, you cannot take a leave of absence or have a formal break from your studies.
An exchange under the Erasmus+ program is considered an integral part of your degree program at UAM. This means that during your stay abroad, you must maintain fully active student status and complete the agreed-upon course load abroad. Combining a scholarship-funded exchange with a leave of absence (dean’s leave) is therefore formally prohibited by the admission regulations.

The period of study completed as part of the Erasmus+ program at a partner university abroad is considered an integral part of your studies at Adam Mickiewicz University in Poznań.
The entire process of documenting your achievements abroad and recognizing ECTS credits and grades involves several steps before your departure and after your return:
1. Before departure – establishing the study plan and the Equivalency Chart
- Dean’s Approval and Course List: To go abroad, you submit an application, based on which the dean authorizes you to complete part of your studies abroad, specifying the learning outcomes, the ECTS credits to be earned, and the deadline for their recognition. This decision is based on the course list you prepare, which has been previously agreed upon with the Dean’s representative for student exchange.
- Equivalency Chart: Before your departure, the Faculty Coordinator for the Erasmus+ Program prepares what is known as an Equivalency Chart. This document clearly specifies which of the courses you have selected at the partner university are equivalents to the courses assigned to a given semester at UAM, and indicates any curricular differences that you will need to make up.
- Course Exemption Option: In particularly justified cases, the dean may fully exempt you from the requirement to complete specific courses in your UAM study program during your absence.
2. Upon your return – formal recognition of academic achievements
Recognition of your course completions and grades takes place upon your return based on original documents from the host institution:
- Confirmation of stay: The fact that you completed your studies or internship is confirmed by an official certificate— Confirmation of Study Period (or Traineeship Certificate in the case of an internship).
- Transcript of Records: This serves as the direct basis for recognizing your learning outcomes. It is an official list of courses issued by the host university, containing the grades earned (on that university’s grading scale) and the corresponding ECTS credits.
- Conversion of Grades to the UAM Scale: Since grading scales in other countries differ from the Polish one, the final conversion of foreign grades to the grading scale in effect at UAM is performed by the dean.

In the application process for an Erasmus+ exchange, certain groups of students are given priority at two stages of the procedure:
1. Priority during the general selection process
When applying for a study or internship abroad , priority is given to students who have not yet participated in mobility programs under the LLP-Erasmus or Erasmus+ programs. This rule is intended to make it easier for students who have not yet had the opportunity to participate in an international exchange to go abroad.
2. Priority in the event of vacancies
If a student on the main list of qualified candidates withdraws from the program, priority in filling the vacated spot is given to those on the reserve list compiled by the committee (they are then eligible to participate in the exchange first).

The decision on whether you qualify for the trip is made at the department level by the Departmental Admissions Committee.
Here’s exactly how the process works and what happens if there’s no spot for you on the main list:
Who decides on eligibility?
- Faculty Admissions Committee: This is a body appointed directly by the dean of your faculty to conduct the selection process.
- Composition of the committee: The committee consists of at least three people appointed by the dean or a person authorized by the dean.
- Evaluation criteria: The committee evaluates applications in accordance with the transparent and publicly available Faculty Regulations for the Erasmus+ Program, which specify precise selection criteria, required documents, and appeal procedures.
What if there are no available spots?
After the selection process is complete, the Faculty Selection Committee compiles a list of candidates and an additional reserve list of candidates.
- Priority for Vacant Spots: If a student on the main list withdraws from the exchange, the vacant spot is immediately reassigned. In such cases, candidates on the reserve list are given priority for the exchange.
- Additional recruitment: In cases justified by vacancies or when the number of exchange participants in a given year is insufficient, the Committee may decide to announce an additional recruitment round. This provides another opportunity to participate for those who were not selected during the first round.

Yes, it is possible to extend your stay abroad for another semester, but this requires meeting certain formal and financial conditions.
To be eligible for an extension, you must complete the following procedures:
- AMU Approval: You must obtain official approval from your home department at AMU.
- Host institution’s approval: The foreign host institution must also approve the extension of your stay.
Financial Matters and Scholarship
- No Additional Funding by Default: You must keep in mind that the university does not typically provide additional funding for an extended mobility period. By default, the next semester is treated as a period with so-called “zero funding.”
- When can you receive funding? Any decision to award funding for the extended semester depends solely on whether the university secures additional funds through the redistribution process carried out by the National Agency for the Erasmus+ Program.
Important note: When extending your stay, you must also ensure that the total duration of your stay abroad (including the additional semester) does not exceed your mobility allowance for your current degree level (i.e., the 12-month limit for first- and second-cycle programs or the 24-month limit for single-cycle master’s programs).

Interruption of an Erasmus+ Mobility Period
Yes, a physical mobility period under the Erasmus+ program can be interrupted.
However, it is important to keep in mind a few key rules regarding interruptions:
- Impact on duration: The duration of the interruption is not counted toward the required duration of the stay (mobility activity).
- Exception for student internships: Days off from work at your host company or organization are not considered part of the interruption.
- Funding for internships: During these days off, your funding is maintained in full, and this period counts toward the minimum duration of the internship.

Immediately after completing your Erasmus+ exchange at Adam Mickiewicz University (AMU), you are required to complete the following formalities:
1. Complete the online report (EU Survey)
- Immediately after the end of your mobility period, you are required to complete an individual online report (the so-called EU Survey).
- Submitting this report is considered a request for the final payment and is a prerequisite for the disbursement of the remaining 10% of the scholarship amount.
2. Submit a document confirming your stay
- Settlement of the awarded grant is based on a document issued and signed by the host organization.
- Depending on the type of mobility, this is either a Confirmation of Study Period (for studies) or a Traineeship Certificate (for internships).
- This document must include your first and last name and the confirmed, exact start and end dates of your physical mobility.
3. Settlement of travel days (travel grant)
- If the actual dates of your stay at the host organization match those in the agreement, you will be reimbursed for travel days (up to 2 days) based on a document confirming your travel (e.g., a ticket) clearly showing your first and last name and the travel dates.
- If the confirmed period of stay on the certificate from the host institution is at least 2 days longer than indicated in the agreement, this certificate alone serves as the basis for claiming the travel allowance.
4. Recognition of Grades and ECTS Credits
- You must submit an official list of grades and credits earned— a Transcript of Records issued by the host institution.
- Recognition of the study period abroad is based on this list and the Equivalency Chart prepared before your departure (which specifies which courses taken abroad correspond to courses at UAM and identifies any curriculum differences that need to be made up).
5. Additional Requirements (if applicable)
- If you used “Green Travel”: You must submit a signed “Participant’s Declaration on the Use of Low-Emission Means of Transportation.” Please note that you are strictly required to keep your travel documents (e.g., tickets) for 5 years after the end of your mobility period, in case the university requests them for verification.
- In the case of “inclusion support” (for people with disabilities): Reimbursement for additional costs (rehabilitation, transportation, assistant’s stay) is based on invoices issued directly to Adam Mickiewicz University in Poznań and proof of payment.

For matters not directly related to the Erasmus+ application process, you may submit a complaint or request to the Erasmus+ Institutional Coordinator during your exchange .
For your document to be considered, it must meet the following formal requirements:
- It must be submitted in writing.
- It must include a clear justification.
- It must first be reviewed by your Departmental Coordinator —only after receiving this review will the complete document be forwarded to the Institutional Coordinator.
The request or complaint will be reviewed within 14 calendar days of receipt of the complete letter along with the required opinion.

Updated: 2026-06-18 No ratings
The amount of the scholarship (individual support) depends on the country you are going to:
- Group 1 (including France, Germany, Italy, Austria, Spain, Portugal, and the Nordic countries): You will receive 670 euros per month for your studies or 820 euros per month for an internship.
- Group 2 (including Poland, Bulgaria, Croatia, Lithuania, Hungary, and Turkey): You will receive 600 euros per month for your studies or 750 euros per month for an internship. In addition, funding is provided for up to two days of travel (before and after the mobility period).

Funding for short-term stays (lasting from 5 to 30 days) for studies and internships is based on a daily rate of 79 EUR through the 14th day of the stay.
Although the program rules also provide for a rate of 56 EUR per day from the 15th to the 30th day, Adam Mickiewicz University has implemented an internal restriction. To avoid significant disparities compared to long-term stays, the university provides funding for a maximum of the first 14 days of the trip. For longer stays, each subsequent day (up to a maximum of the 30th day) is treated as a period with so-called “zero funding.”
In addition to the basic living allowance, participants are also eligible for additional funds:
- Lump-sum travel allowance: Each participant receives a travel allowance, the amount of which (ranging from 28 EUR to 1,735 EUR) depends on the distance between the university and the destination. The lump-sum amount increases if you choose low-emission modes of transportation eligible for the “Green Travel” allowance.
- Supplement for participants with fewer opportunities: Students eligible for this supplement (e.g., those with a disability certification, receiving a social scholarship, or with children under 8 years of age) receive an additional, one-time payment of 100 EUR (if the trip lasts 5 to 14 days) or 150 EUR (if the trip lasts 15 to 30 days). Please note that this specific supplement applies only to short-term study abroad programs—it does not apply to short-term internships.

The method and schedule for scholarship payments at Adam Mickiewicz University (UAM) depend on whether you are applying for standard university scholarships (financial aid, the Rector’s scholarship, or scholarships for students with disabilities) or for funding for a study abroad program under the Erasmus+ program.
1. Standard Scholarships at Adam Mickiewicz University (social, rector’s, and scholarships for students with disabilities)
- How are theypaid out? Payments are made exclusively via non-cash transfers to the student’s personal bank account. You must ensure that your account number has been entered correctly in the USOSweb system (tab: For Everyone > Payments).
- When are they paid? Transfers are processed monthly, typically by the 15th of each month.
- For how long? Scholarships are awarded for the academic year and paid out for a period of up to 9 months (from October to June). For programs with a shorter duration (e.g., a final semester ending in the winter), the scholarship is paid for 5 months (from October to February). Conversely, if you begin your studies in the summer semester in March, you will receive the scholarship for 4 months (from March to June).
- Payment schedule for the upcoming 2026/2027 academic year:
- October and November: Due to the time required to verify applications and run the scholarship algorithm, the first transfers for these two months will be processed by November 25, 2026. You will then receive a one-time adjustment (retroactive payment) for October.
- December–June: Payments for subsequent months will be processed regularly by the 15th of each month.
2. Funding for Erasmus+ Mobility
If you’ve asked about scholarship payments in the context of international mobility, the funding procedure is completely different:
- Initial payment (90%): After signing the financial agreement, before you leave for your studies or internship, you’ll receive 90% of the total grant amount.
- Final payment (10%): The remaining 10% of the grant is paid only after your stay abroad has ended. A prerequisite for this transfer is the successful completion of your stay, including the mandatory completion of an individual online report in the system (EU Survey).

“Green Travel” is additional funding under the Erasmus+ program, awarded in the form of an increased lump-sum travel allowance for students and doctoral candidates who choose to travel to their destination using eco-friendly, low-emission modes of transportation.
Here are the most important rules and details regarding this program:
1. What modes of transportation are considered eco-friendly?
For your trip to qualify as “Green Travel,” you must use one of the following low-emission modes of transportation:
- train,
- bus,
- bicycle,
- carpooling (sharing a passenger car with others traveling for the same purpose).
Note: A traditional flight or traveling alone by car does not qualify you for this allowance.
2. Key Conditions for Granting Funding
- Majority of the Route: The majority of the round-trip journey, in terms of distance, must be traveled using an eco-friendly mode of transportation.
- Submission of a declaration: The main formal requirement is to sign and submit the “Participant’s Declaration on the Use of Low-Emission Means of Transportation.”
- Retaining tickets: You are strictly required to keep and retain proof of travel (e.g., tickets) for a period of 5 years from the end of the trip. The university has the right to request that you present them for verification at any time during this period.
3. By how much does the subsidy increase?
The lump-sum amount depends on the distance calculated using the European Commission’s official calculator. For example, the rates are as follows:
- From 100 to 499 km: the standard lump sum is 211 EUR, and under the “Green Travel” option, it increases to 285 EUR.
- From 500 to 1,999 km: the standard lump sum is 309 EUR, and with “Green Travel” it is 417 EUR.
- From 2,000 to 2,999 km: the standard flat rate is 395 EUR, and with “Green Travel” you receive 535 EUR.
- From 3,000 to 3,999 km: the standard flat rate is 580 EUR, while the “Green Travel” rate is 785 EUR.

To receive increased funding under the “Green Travel” program, you do not need to submit a separate, complicated application; instead, you must complete certain formalities confirming your mode of travel.
In accordance with the university’s financial regulations, to qualify for this allowance, you must meet the following conditions:
- Submission of a declaration: The main document confirming your eligibility for the higher lump-sum allowance is the signing and submission of the “Participant’s Declaration on the Use of Low-Emission Means of Transportation.”
- Appropriate mode of transportation: You are eligible for the increased subsidy if the majority of your round-trip journeys (in terms of distance traveled) are made using eco-friendly modes of transportation, which include buses, trains, bicycles, or carpooling.
- Retaining tickets: You are strictly required to keep proof of travel (e.g., tickets) for 5 years after the end of your mobility period. During this time, the university may request that you present them for verification.

Yes, there are several options for support. Individuals with a disability certification are guaranteed a general monthly stipend supplement of 250 EUR for long-term stays (the so-called “disadvantaged” group).
However, if a person’s health condition results in specific expenses exceeding this amount (so-called “inclusion support”), they may apply to the National Agency for reimbursement of the actual, additional costs. This includes, among other things:
- special transportation,
- travel and living expenses for an accompanying person (or remuneration for a local caregiver),
- specialized teaching materials and medical care/rehabilitation. Such a request must be submitted immediately after qualification, but no later than 5 weeks before the planned departure, along with a detailed estimate and justification of the expenses. Invoices and proof of payment will be required during the reimbursement process.

At Adam Mickiewicz University in Poznań (UAM), you can apply for various forms of financial aid and support. These are divided into basic benefits, housing, and additional support programs:
1. Basic benefits (awarded by the University Scholarship Committee)
Applications for these benefits are submitted electronically directly through the USOSweb system:
- Social scholarship – available to students facing financial hardship. You also have the option to apply for an increased social scholarship (e.g., due to living in a dormitory or other facility when daily commuting from your permanent residence to the university is difficult).
- Scholarship for Students with Disabilities – intended for students who hold a valid disability certificate or a certificate of disability level issued by an authorized Polish authority. Awarding the scholarship depends solely on the certificate, and its amount is independent of the family’s income situation.
- Rector’s Scholarship – awarded to students who achieved a high grade point average (no lower than 4.00) in the previous academic year or who can demonstrate outstanding academic or artistic achievements or high athletic performance at least at the national level. Outstanding first-year students may also apply for the Rector’s Scholarship immediately after passing their high school graduation exams (e.g., winners of national academic competitions).
- Financial aid —a one-time, ad hoc, non-repayable financial assistance for individuals who have temporarily found themselves in a difficult life situation due to sudden and temporary problems (e.g., due to a serious illness of the student or a family member, the death of a close family member, the birth of a child, or a natural disaster).
2. Housing
- A Place in a Student Dormitory —in addition to typical financial aid, a student or an admitted applicant may apply for a room in one of the university’s dormitories. Importantly, you may also apply for housing for your non-working spouse or child.
3. Other Types of Scholarships
- Ministerial Scholarship – awarded directly by the relevant minister for significant academic or artistic achievements.
- External scholarships —students may also apply for scholarships funded by local government entities or awarded for academic or athletic achievements by individuals or legal entities.
4. Financial Support for Study Abroad (Erasmus+)
If you decide to study or do an internship abroad as part of the Erasmus+ program, you are eligible for additional forms of financial support:
- Individual support – a monthly stipend to cover standard living expenses abroad.
- Supplement for students with fewer opportunities —an additional lump sum (e.g., 250 EUR per month for long-term stays) awarded to students with a certified disability, those from lower-income backgrounds (i.e., those who previously received a social scholarship at Adam Mickiewicz University), students with children under the age of 8, or individuals with asylum status or refugee status.
- Inclusion Support – additional funding, reimbursed based on invoices, for individuals with disabilities to cover the actual costs of medical treatment, rehabilitation, specialized transportation, or a caregiver’s services during their stay abroad.

Applications for all forms of financial aid (social scholarship, scholarship for students with disabilities, rector’s scholarship, and financial assistance), as well as for a spot in the student dormitory, must be submitted exclusively in electronic form. The university does not accept paper forms or printouts.
Where exactly should you submit your application?
This process takes place in the USOSweb system:
- Log in to your USOSweb account.
- Go to the FOR EVERYONE tab, then select the Applications module from the menu.
- On the first screen of this module, you’ll find detailed instructions for each application and statement, which explain step by step how to fill them out.
How does the procedure work?
- Income Declaration (basic step): If you are applying for a need-based scholarship or a spot in a dorm, you must first generate, complete, and authorize the Income Declaration in the system. Only after it has been correctly completed will the system allow you to create and submit the appropriate application for a scholarship or dormitory room.
- PDF Attachments: All documents confirming your financial, health, or personal circumstances (e.g., certificates from tax offices, disability determinations, invoices) must be attached as PDF scans. Very important: Any certificate or multi-page document (e.g., a lease agreement) must be saved as a single PDF file —the system does not accept separate individual pages.
- Selecting a single major: If you are enrolled in more than one major, you must indicate one specific major when submitting your application, to which you wish the scholarship to be linked (scholarships are awarded only for the major you specify).
All applications are reviewed and processed by the University Scholarship Committee (UKS), which operates through its Faculty Subcommittees. You will also receive the scholarship decision electronically directly through the USOSweb system.

If you make a mistake in an electronically submitted and authorized application or income statement in the USOSweb system, you cannot edit or correct it yourself. To regain access to edit the document, you must follow these steps:
1. Submit a request to unblock the document for correction
You must contact your department’s Student Services Office (BOS) to request that the application or statement be unlocked.
- How to contact them: You can send this request via email or submit it by phone.
- Student email requirement: The email must be sent from your official university email address in the @st.amu.edu.pl domain. Messages sent from personal email addresses (e.g., Gmail, Onet) will not be considered.
- Required information: In the body of the message, provide your details: first and last name, major, year of study, and student ID number, and specify exactly which document needs to be corrected.
2. Correction and Resubmission
Once a BOS staff member changes the status of your declaration or application to one that allows for re-editing:
- Log in to USOSweb, go to the form, enter the correct information, and attach the appropriate documents in PDF format.
- Very important: After you finish editing, you must go through the entire submission and authorization process for the corrected document again. Simply saving the changes does not mean that the application will automatically be sent back for verification.
What happens if the coordinator or committee is the first to detect an error?
- Automatic notification: You will be notified via an automatic email sent to your @st.amu.edu.pl address if your application or statement has been returned for correction by the University Scholarship Committee (UKS).
- Where can you find comments and feedback? Detailed instructions on what and how to correct, as well as the name of the person who rejected your application, can be found at the very end of the electronic document in USOSweb, in the “Application Status History” table. If you have any questions, you should contact only that specific person.
- Deadline for Corrections (Commission’s Request): If the Commission officially requests that you provide missing information or correct errors, you have at least 7 days from the date you receive the request to do so. Please note that failing to meet this deadline and not completing the application will result in your case being dismissed without consideration.

Eligibility for financial aid at Adam Mickiewicz University (such as social scholarships, scholarships for students with disabilities, the Rector’s scholarship, and financial assistance) is time-limited and subject to strict semester-based limits.
These rules are as follows:
1. Main Semester Limit (12-Semester Rule)
- Total limit: You are eligible for all benefits for a total period of up to 12 semesters.
- Limits by Degree Level: Within the above limit, additional restrictions apply at each degree level:
- for first-cycle studies (bachelor’s/engineering degrees)—you may receive benefits for no longer than 9 semesters,
- for second-cycle studies (master’s degree) – for no longer than 7 semesters.
2. How is this period calculated and aggregated?
- Aggregating all periodsof study: The limit includes all semesters of study you have started —regardless of whether you completed them or not, and regardless of which university you attended.
- Regardless of whether you received financial aid: Semesters count toward the limit even if you did not receive any scholarship during them. Any semester you started is considered a semester (it is sufficient that you were enrolled on the student roster for at least one day).
- Student leaves of absence: Semesters during which you were on a leave of absence from classes (e.g., a dean’s leave) also count toward the limit.
- Studying in Multiple Programs: If you are studying in multiple programs simultaneously, semesters taken concurrently are treated and counted toward the limit as a single semester.
3. Exceptions and Special Circumstances
- Unified Master’s Programs: The total limit (12 semesters) is extended by an additional 2 semesters (for a total of 14 semesters) if you are enrolled in a unified Master’s program whose duration, as specified by regulations, is 11 or 12 semesters.
- Scholarship for People with Disabilities: If your disability arose during your studies or after obtaining your first professional degree, you are eligible for a scholarship for people with disabilities for an additional period of 12 semesters (while maintaining the limits of 9 semesters for the first-cycle degree and 7 semesters for the second-cycle degree).
4. Holding a Professional Degree and Loss of Eligibility
Scholarship benefits cease immediately, regardless of the number of semesters used, if you obtain a specific academic degree:
- you already hold a master’s degree, a master of engineering degree, or an equivalent degree,
- you hold a Bachelor’s degree , an Engineer’s degree, or an equivalent degree and are re-enrolling in a first-cycle program.
5. Time Frame for a Given Academic Year
If you meet the above criteria, scholarships are awarded for the academic year (or semester) and paid monthly for up to 9 months (from October to June). If your final year of study, according to your program, lasts only one semester, you will receive the scholarship for 5 months (winter semester) or 4 months (summer semester).

When applying for a need-based scholarship for the 2026/2027 academic year, the reference period for which you must report your income and that of your family members is the previous calendar year, i.e., the period from January 1 to December 31, 2025.
All key official documents that you attach to your income statement in the USOSweb system must pertain to this base period:
- Income from the Tax Office: The certificate stating the amount of revenue, income, tax due, and contributions (Form ZAS-DFU) must cover the year 2025.
- Social Security and Health Insurance Contributions (ZUS): If the tax certificate does not contain complete data on paid social security and health insurance contributions, you must submit documents from ZUS for the year 2025.
- Business Activity (Lump-Sum Tax/Tax Card): The certificate of annual revenue and tax rate must cover the period from January 1 to December 31, 2025.
- Farm: The certificate from the municipal office regarding the size of the farm (in physical and conversion hectares) and the certificates from the Tax Office regarding the income of family members who own the farm and are taxed under general rules must pertain to the year 2025.
What if your financial situation has changed after 2025?
If, during 2026 (i.e., after the base period), your family’s financial situation has changed (e.g., someone lost their job or started a new one), you are required to report this. The following procedures apply:
- Loss of income —if, after 2025, you lost a source of income (e.g., job loss, deregistration of a business, etc.) that meets the statutory criteria,
- Income gained —if in 2026 you or a family member obtained a new, permanent source of income.
Please note: If you are also applying for a spot in a student dormitory for the 2026/2027 academic year, the reference year for documenting income in that separate application is 2024, unless you opt for the simplified procedure and use the data from your 2025 scholarship declaration.

The income threshold for eligibility to apply for a need-based scholarship at Adam Mickiewicz University is directly linked to the minimum wage in Poland. According to the regulations, the monthly income per person in a student’s family may not exceed 45% of the minimum wage set as of January 1 of the year preceding the academic year for which the scholarship is awarded.
Depending on the academic year, this criterion is as follows:
- In the 2025/2026 academic year: The income threshold was a maximum of 1,908.90 PLN net per family member. A student whose monthly income per family member exceeded this amount was not eligible to receive a social scholarship.
- In the 2026/2027 academic year: The specific criteria and exact amount of benefits for this academic year will be determined by the Rector in consultation with the Student Government, based on the size of the scholarship fund and the number of applications.
Important Low-Income Threshold (823 PLN)
If your family’s calculated income is very low and does not exceed 823 PLN net per person, you are legally required to attach to your application a certificate from a social assistance center (OPS) or a social services center (CUS) confirming that you are receiving social assistance benefits in the year the application is submitted.
Failure to provide such a certificate will force the Scholarship Committee to issue a denial decision, unless you precisely and reliably document other sources of your family’s income on the application form (on Screen 5).

If the monthly net income per person in your family does not exceed 823 PLN, you fall within the low-income threshold defined in Poland’s Social Assistance Act. In this case, when applying for a social scholarship at UAM, specific procedural rules apply to you:
- Mandatory requirement to submit a certificate: You are required to attach to your scholarship application a certificate issued by a social assistance center (OPS) or a social services center (CUS).
- What must the document confirm? The certificate must unequivocally confirm that you or your family members received social assistance benefits in the year the scholarship application was submitted.
- Note on “non-receipt” certificates: Submitting a document that merely states that you or your family do not receive social assistance does not meet the legal requirements. The USOSweb system will then prevent you from selecting the option to submit the required certificate on Screen 4 of the form.
- Consequences of failing to provide the document: If your net income is below 823 PLN per person and you do not attach a certificate confirming that you are receiving benefits, the Scholarship Committee (or the Scholarship Appeals Committee) is legally required to deny you the social scholarship.
What should you do if your family does not receive social assistance benefits?
If you truly do not receive such benefits, you may still be awarded a social scholarship. However, it is a prerequisite that you provide credible, precise, and comprehensive documentation of your family’s other actual sources of income (e.g., how you pay bills, buy food, etc.).
You can conveniently submit the application for the necessary certificate to the social assistance center online via the ePUAP system. The center issues the certificate based on the information it already has (a social investigation is conducted only in situations strictly defined by law).

Applications for scholarships for people with disabilities at Adam Mickiewicz University (UAM) are submitted electronically, and the only acceptable basis for receiving one is an official Polish document confirming the applicant’s health condition.
What is the basis for awarding the scholarship?
The basis for applying for this benefit is exclusively a valid certification issued by an authorized Polish authority (e.g., ZUS or the County/Municipal Disability Assessment Team). This may be:
- a certificate of the degree of disability or of disability,
- a certificate classifying the applicant as belonging to one of the disability groups,
- a certificate of incapacity for work (including permanent or long-term incapacity for work on a farm),
- a determination of inability to live independently.
Important: Ordinary medical certificates, medical records of treatment, or disability documents issued by foreign authorities (from other countries) cannot serve as grounds for awarding the scholarship. Importantly, the amount of the scholarship is completely independent of the degree of disability.
How to submit an application step by step?
- USOSweb: The application must be generated and submitted exclusively online via the USOSweb system (the “For Everyone” tab ➞ “Applications”). The university does not accept paper forms.
- PDF Attachment: You must attach a scan of your disability certification to the application. If the document has multiple pages, they must all be included in a single PDF file.
- System convenience: If the USOS system already contains information about your valid certificate (for example, because you previously submitted it for review at the office), you do not need to attach the PDF file again. However, it’s a good idea to check with your Student Services Office (BOS) to make sure this information has been entered correctly—if there is no active record of your certification in the system, the funds awarded cannot be disbursed.
- No income requirement: By submitting this application, you are completely exempt from the obligation to submit an income statement or documents describing your family’s financial situation.
Scholarship Payment Period and Validity of the Certification
- Payment period: The grant is awarded for the academic year (or starting from the month the application is submitted), but is paid monthly (usually for up to 9 months during the academic year) only during the validity period of the certification.
- Renewal procedure: If your certification is about to expire, you may apply for a new one no earlier than 2 months (or 3 months if transitioning from a child disability certification to an adult disability certification) before the current one expires. If you submit this application before the previous document expires, the current certificate remains valid until a new final document is issued, but for no longer than 6 months. You must immediately submit the certificate received from the County Disability Assessment Team (specifying the new temporary validity period) to BOS to update your information in the system. The day after the update, you will be able to submit a new scholarship application via USOSweb.
- Semester Limit: The scholarship is available for first- and second-cycle programs, as well as single-cycle master’s programs, for a period not exceeding 12 semesters started (with a limit of up to 9 semesters for first-cycle programs and up to 7 semesters for second-cycle programs). However, if your disability arose during your studies or after obtaining your first professional degree, you are entitled to an additional period of 12 semesters (while adhering to the limits for the respective degree level).
Additional Regulations
- Studying in Multiple Programs: If you are enrolled in multiple programs at UAM at the same time, you may receive the scholarship for only one program of your choice.
- Scholarship Amount: In the 2025/2026 academic year, the scholarship amounted to 700 PLN per month. The exact amounts for the 2026/2027 academic year will be determined by the Rector in consultation with the Student Government.
- International Students: International students may also apply for this scholarship provided they have a certificate issued by an authorized Polish authority.

You can apply for financial assistance if you find yourself temporarily in a difficult life situation. This refers to a range of circumstances (e.g., health-related, financial, family-related, or social) that cause sudden and temporary difficulties in meeting your family’s basic needs.
When can you submit an application?
The most common circumstances justifying the granting of financial assistance include, in particular:
- the death of a close family member,
- a serious illness of a student or a member of their immediate family,
- a natural disaster (e.g., fire, flood),
- the birth of a child,
- loss of a steady source of income in the family,
- other unexpected circumstances that have temporarily placed you in a difficult situation.
Important Rules and Conditions for Granting Assistance
- Burden of proof: Please note that it is your responsibility as the applicant to demonstrate and prove your difficult life situation.
- Requirement to document expenses: Your application must be fully documented. In the USOSweb system , you must attach (as PDF files) proof of the costs incurred, such as invoices, personalized receipts, or accounting statements issued directly in your name. Medical certificates or descriptions of your situation alone, without documentation of expenses, may not be sufficient for the grant to be approved.
- One-time nature: The financial aid is a one-time, non-refundable benefit. Granting it based on a specific event precludes the possibility of reapplying based on exactly the same set of facts.
- Application Limit: You may receive the financial aid a maximum of two times during a single academic year.
- Duration of Eligibility: You are eligible for the financial aid for a total of no more than 12 semesters of study (including a maximum of 9 semesters in a bachelor’s program and 7 semesters in a master’s program).
- Degree Status: This benefit is not available to students who already hold a master’s or bachelor’s/engineering degree and are re-enrolling in the same degree program.
Applications for financial aid must be submitted exclusively online via the USOSweb system.

Yes, as a foreign national, you can receive a scholarship at Adam Mickiewicz University (UAM); however, the scope of benefits you can apply for varies depending on the type of scholarship and your legal status in Poland.
University regulations divide financial aid into two main categories:
Benefits available to all foreign nationals
Regardless of your citizenship or residence status, if you began your studies in the 2019/2020 academic year, you can apply for:
- The Rector’s Scholarship (awarded, among other things, for a high grade point average or outstanding academic, artistic, or athletic achievements),
- A one-time financial aid grant (in the event of a sudden and temporary deterioration in living conditions),
- AMinister’s Scholarship,
- A scholarship for people with disabilities —provided that you have a certificate of disability, inability to work, or inability to live independently issued by an authorized Polish authority (certificates from other countries are not accepted).
Social Scholarship
This form of assistance is contingent upon meeting specific financial criteria and your legal status. You may apply for a social scholarship if you meet at least one of the following conditions:
- You hold a Polish Card or an official decision confirming your Polish origin,
- You hold a certificate confirming proficiency in Polish as a foreign language at a level of at least C1,
- You hold a permanent residence permit in Poland or have long-term resident status in the European Union,
- You have refugee status granted in the Republic of Poland, or you are receiving temporary protection or subsidiary protection within the territory of the Republic of Poland,
- You are a citizen of an EU member state, Switzerland, or an EFTA country (or a family member of such a person) living in Poland and are, among other things, self-employed or an employee,
- You are the spouse, an ascendant (e.g., a parent), or a descendant (e.g., a child) of a citizen of the Republic of Poland and reside in the Republic of Poland,
- You hold a temporary residence permit issued in connection with specific circumstances (e.g., for the purpose of family reunification or conducting scientific research).
Important formal requirements for foreign nationals
- Polish bank account: All financial benefits granted are paid exclusively by bank transfer to an account held at a Polish bank.
- Translation of documents: If you attach any official certificates to your application or income statement that are issued in a language other than Polish or English, they must be submitted along with a translation into Polish prepared by a sworn translator listed by the Polish Ministry of Justice.

No, that’s not possible. You cannot receive financial aid from both departments.
Pursuant to the Act on Higher Education and Science and the Adam Mickiewicz University (UAM) Benefits Regulations, a student enrolled in multiple degree programs simultaneously may receive benefits only for one program of their choice.
This rule applies to all forms of financial aid, including:
- social scholarship,
- scholarships for people with disabilities,
- financial aid,
- the rector’s scholarship.
How does this work in the USOSweb system?
- Choosing a field of study: When submitting an application in the USOSweb system, you must specify one specific field of study to which you are linking your application for the given benefit.
- One application: Since all Faculty Subcommittees of the University Scholarship Committee (UKS) follow exactly the same, standardized criteria and rules for reviewing applications, there is neither a basis nor a need to submit separate applications to different faculties.
Regardless of how many departments you are enrolled in, you therefore go through the entire procedure only once, for the field of study you have chosen.

Yes. Obtaining all grades and course credits in the USOSweb system is a prerequisite for taking the diploma exam (§ 63, section 1, point 1 of the Study Regulations). Keep these key rules in mind:
- Verification: Before beginning the graduation process, check USOSweb to ensure that all courses in your degree program have been completed.
- Data migration time: Please note that grades entered by the instructor are visible to BOS staff only the following day. This is because data migration in the USOS system occurs overnight.
- Steps to follow: All entries must be complete before you register your thesis.
Important tip: Do not wait until the last minute to check your grades. If an entry is missing for a course you have already passed, contact the instructor immediately.

To be formally admitted to the diploma exam (defense) at Adam Mickiewicz University in Poznań, you must meet the following formal and procedural requirements:
1. Completion of the degree program and grades
- Completion of all stages: A prerequisite is fulfilling all requirements of your study program, which means successfully completing all courses and mandatory internships specified in the program.
- Complete entries in USOSweb: Before beginning the graduation process, you are required to verify in the USOSweb system that all courses have been successfully completed and that grades have been entered. Having a complete set of grades in the system is an absolute prerequisite for admission to the exam (§ 63(1)(1) of the Study Regulations).
2. Procedure in the APD System (Thesis Archive)
- Uploading the thesis on time: You must correctly enter and submit your completed thesis in electronic form (PDF file) via the APD system. The deadline is usually September 30 of the final semester of study (or March 31 for 7-semester engineering programs).
- Approval of declarations: When uploading the file to the APD system, you must electronically approve the declaration stating that you wrote the thesis yourself. Note: The content of this declaration should no longer be pasted into the PDF file containing the thesis itself—approval via the system interface has full legal validity.
- Thesis Attachments: If your thesis includes integral attachments (e.g., databases, surveys, or source codes), you must compress them into a single archive (preferably in .zip format) and also upload it to the APD system.
3. Verification Procedure and Reviews
- Plagiarism check (JSA): After you submit your thesis, your advisor forwards it for a mandatory check in the Unified Anti-Plagiarism System.
- Positive Reviews: To proceed to the defense, you must receive positive evaluations of your thesis from your advisor and the designated reviewer. Both reviews must be entered and approved in the APD system before the exam date.
- What if a review is negative? If one of the reviews is negative, this does not automatically result in disqualification—the final decision on admission is made by the Dean, who may, in such a situation, seek the opinion of an additional (second) reviewer.
4. No Paper Requirements
- No printed version required: At Adam Mickiewicz University (UAM), you are no longer required to submit a hard copy of your thesis to the Student Services Office (BOS)—the entire document workflow (including the exam protocol and Thesis Work Card) is handled electronically.
- Photo for the diploma: You also do not need to submit a physical, paper photograph to the BOS for your graduation diploma.

These deadlines are strict and must be met to ensure the continuity of your studies. If you do not upload your thesis to the APD system by the deadline, you must be prepared for the following steps:
- Dismissal procedure: The university initiates the procedure to remove you from the student roster. The reason is failure to submit your thesis on time or failure to pass the thesis seminar, which results in a failed academic year.
- Fallback option: If you know you will not meet the deadline, you can submit an request to repeat the seminar in the next academic year via the USOSweb system. This will allow you to retain your student status and complete your thesis at a later date.

Failure to take the exam on the first date does not result in automatic withdrawal, but requires specific steps to be taken. The standard procedure is as follows:
- Second date: The Dean sets a second exam date, which is considered final.
- Regarding excuses: It’s worth remembering best practices: if you know you won’t be able to make it to the exam, send an excuse from your student email (@st.amu.edu.pl) to BOS. Do this before the exam or immediately after the reason for your absence has been resolved.
Procedural differences depending on the department:
Although in most offices the Dean sets a new date, there are exceptions you need to be aware of:

Who can serve as your thesis advisor (i.e., the person supervising your thesis) depends primarily on the level of your studies:
- Bachelor’s or Engineering Thesis
If you are completing a first-cycle degree, your thesis advisor must be a faculty member who holds at least a doctoral degree. - Master’s thesis
For second-cycle studies or a single-cycle master’s program, the requirements are higher. A master’s thesis may be supervised by an academic faculty member who holds:
- the academic title of professor,
- the rank of university professor,
- or the title of habilitated doctor (employed as an assistant professor).
Exceptions and special circumstances:
- A Doctor as a Master’s Thesis Advisor: In particularly justified cases, the program council of your field of study may authorize an academic instructor holding a Ph.D. to supervise a master’s thesis, provided that the instructor is employed in the research or research-and-teaching staff category. In such a situation, however, the dean is required to appoint a reviewer who holds a higher degree (habilitated doctorate) or the title of professor.
- Supervisor from outside UAM (external): If you wish to prepare your thesis under the supervision of an academic from another university or a specialist and practitioner from outside the University, the program council for your field of study may authorize such a person to supervise your thesis. This external advisor will then evaluate your thesis and submit a review of it through the system.

If one of your reviewers (your advisor or an appointed reviewer) gives you a negative evaluation, this does not automatically mean you will not be allowed to defend your thesis.
In accordance with the regulations in effect at Adam Mickiewicz University, the procedure in such a case is as follows:
- Dean’s Decision: The dean makes the final decision on whether to admit you to the thesis defense.
- Opinion ofan Additional Reviewer: When making this decision, the dean may consult an additional (second) reviewer, who will conduct an independent evaluation of your thesis.
- Composition of the Examination Committee: If the dean approves your admission to the defense, the appointed additional reviewer will also serve on the committee conducting your diploma examination.
The same rule applies even if a student has previously been removed from the program and is applying to resume studies solely for the purpose of taking the diploma exam. A single negative review does not automatically block this procedure—the dean may still admit the student to the defense after consulting with the additional reviewer.

No, at Adam Mickiewicz University in Poznań (UAM), you are not required to submit a hard copy of your thesis to the Student Services Office (BOS).
The entire thesis process has been fully digitized and is based on an electronic document workflow. In accordance with the current Rector’s Order No. 3/2020/2021, your only obligation as a student is to prepare and upload an electronic version of your thesis (as a PDF file) to the Thesis Archive System (APD). You also electronically approve the declaration of originality directly within the APD system, so you do not need to print it or include it with your thesis.
According to the official procedure, printing and including documents such as the thesis defense transcript, thesis reviews, or the Thesis Work Card (which are printouts from the USOS system) in your physical personnel file is the sole responsibility of BOS staff. Additionally, the new regulations have repealed the former Rector’s directive, which required, among other things, a statement confirming that the digital version matches the printed version—a move that ultimately seals the end of the paper format.

Updated: 2026-08-13 1 change introduced No ratings
The Thesis Archive (APD) is a university IT system that is part of the USOS system and supports and coordinates the entire process of submitting and archiving theses.
This system is primarily used for:
- submitting and archiving electronic versions of bachelor’s, engineering, and master’s theses,
- conducting plagiarism checks to verify the originality of theses in the integrated Unified Anti-Plagiarism System (JSA),
- issuing electronic reviews by the advisor and the designated reviewer,
- preparing and approving electronic diploma examinationreports directly within the system by members of the examination committee.
Where can I find the APD user manual?
Comprehensive technical guides and step-by-step instructions (for students, advisors, and reviewers) are published on the official documentation platform for Adam Mickiewicz University (UAM) systems: 👉 USOSDOCS.
On this portal, you’ll find detailed sections on using APD, including:
- Instructions for students (available in Polish and English) – this explains, among other things, how to navigate the “List of Theses and Tasks” section, fill out thesis metadata (abstract, keywords), add attachments, and submit the finished file to your advisor for approval.
- Instructions for advisors and reviewers – these describe the procedure for the advisor to verify the JSA report, approve the thesis, and enter reviews into the system.
- Instructions for the Examination Committee —dedicated to preparing and electronically signing the defense protocol.
You can access the APD system by logging in with your standard USOSweb account credentials.

The naming convention for PDF files must meet the system’s strict technical requirements in order to pass verification. When preparing the file, follow these guidelines:
- No diacritical marks: The file name must not contain Polish characters (e.g., use “a, c, l, o, s, z, z” instead of “ą, ć, ł, ó, ś, ź, ż”).
- Punctuation restrictions: The file name must not contain periods—the only exception is the period separating the filename from the extension (e.g., Praca_Magisterska.pdf).
- Extension format: The file extension must be written in lowercase letters: .pdf.
- Clarity: It is recommended to use underscores (_) instead of spaces, as this improves the file’s stability in IT systems.
Example of a correct filename: ✅ Bachelor’s_Thesis_Jan_Kowalski.pdf
Example of an incorrect filename: ❌ Thesis.Master’s.Zażółć.Gęślą.Jaźń.PDF (contains Polish characters, periods within the filename, and uppercase letters in the extension).

No. Currently, the thesis file itself (i.e., within the text document or PDF) should no longer include the declaration of originality or the statement confirming that the electronic version matches the printed version.
The entire procedure takes place digitally in the APD system:
- Electronic approval: Instead of signing a paper document or scanning it into a file, you approve the declaration directly in the APD system interface when submitting your thesis.
- Legal validity: Clicking the appropriate field in the system is equivalent to signing the declaration and is legally binding.

Yes. All materials that are an integral part of your thesis but do not fit within the main PDF file must be uploaded to the APD system.
To do this correctly, follow the guidelines below:
- Archive format: All attachments must be compressed into a single archive file (preferably in the common .zip format).
- File limit: The APD system allows you to upload the main thesis file as well as additional files containing attachments. If you have many documents, do not upload them individually—compress them into a single archive.
- Naming conventions: Remember that the name of the archive file (as well as the PDF file containing your paper) must not contain Polish characters, spaces, or unnecessary periods.

In accordance with the general regulations of Adam Mickiewicz University in Poznań, the diploma exam should take place no later than 3 months after the date the thesis is submitted via the APD system.
However, it’s worth knowing what happens “behind the scenes” during this time:
- JSA Report: First, the thesis must be checked by the Unified Anti-Plagiarism System (JSA).
- Supervisor’s Approval: The supervisor must accept the report and issue a grade (review).
- Review: A second review (provided by a reviewer) must also be submitted to the system before the defense.

The deadline for uploading and submitting your completed thesis in the APD system depends on the type of degree program you are completing:
- By September 30 of your final semester—for most standard degree programs (bachelor’s, master’s, and single-cycle master’s programs).
- By March 31 – for 7-semester engineering programs.
What happens if you miss the deadline for uploading your thesis?
Failure to meet these deadlines has irreversible consequences for the continuation of your studies:
- Initiation of the procedure to remove you from the student roster: Once this deadline has passed, the university is required to initiate the procedure to remove you from the student roster due to failure to submit your thesis on time.
- Failure to pass the thesis seminar: According to the AMU Academic Regulations, passing the thesis seminar in the final semester is directly linked to submitting your thesis on time. For example, at Collegium Politicum, failure to submit the thesis results in failure of the seminar, which in turn constitutes grounds for removal from the student roster due to failure to pass the academic year.
A backup plan—what to do if you don’t make the deadline?
If you realize that you will not finish writing your thesis by September 30 (or March 31):
- Submit an application to repeat the thesis seminar: This application must be submitted electronically via the USOSweb system for the following academic year.
- What does this do? It will allow you to maintain your full student status and finish writing your thesis at a later date without any issues.

Once you submit your thesis for your advisor’s approval in the Thesis Archive (APD) system, it goes through a strictly defined review process in which your advisor and the assigned reviewer play key roles.
The entire step-by-step procedure is as follows:
- Data verification and plagiarism check (JSA): At the very beginning, your advisor logs into the APD system to verify the accuracy of the data you have entered. They then submit your thesis for a mandatory check in the Unified Anti-Plagiarism System (JSA).
- Decision to approve or reject the thesis: After the plagiarism check is complete, the advisor conducts a detailed analysis of the report generated by the system. Based on this, they decide whether to approve the thesis in the APD (which means it is accepted for the next stage) or to reject it and send it back to the student for revision.
- Submission of Reviews: The final step carried out in the APD system is the preparation and publication of evaluations. Both the advisor and the designated reviewer must enter their independent reviews into the system. Both of these reviews (from the advisor and the reviewer) must be submitted to the APD system before the date of your defense.
Once you have successfully completed these steps and received positive reviews, you will have met the formal requirements for admission to the thesis defense.

The consequences of failing to take the diploma exam on the scheduled date depend on whether your absence is properly excused:
1. Unexcused absence from the exam
If you do not show up for the exam and do not provide a valid excuse, the procedures for failing the first exam date will be initiated:
- Scheduling a second examdate: The Dean will schedule a second exam date, which is considered final.
- Timeframe: The retake of the diploma exam may take place no earlier than 1 month and no later than 3 months after the date of the first (scheduled) exam.
- Faculty-specific differences: Typically, the Dean sets the new date; however, some departments have different internal rules:
- At Collegium Novum and Collegium Politicum, the advisor decides on the new date.
- At Collegium Heliodori Święcicki, the next date is set directly by the Thesis Examination Committee.
- Risk of dismissal: If you also fail to take the second, final exam (or receive a failing grade on it), the Dean is required to remove you from the student roster for failing to take the diploma exam on time (§ 51(4) of the AMU Study Regulations).
2. Justified absence from the exam (e.g., illness, unforeseen circumstances)
If you are unable to attend the defense for objective reasons (e.g., sudden illness confirmed by a doctor’s note), you have the right to request a rescheduled date without any negative consequences:
- Application procedure: You must submit an official excuse and a request to schedule a new date directly to the Student Services Office (BOS).
- Email requirement: You must send this request from your student email account with the @st.amu.edu.pl domain.
- Response Deadline: The request must be submitted before the scheduled exam date or—if an emergency prevented this— immediately after the reason for your absence has been resolved.
- New Date: Once the excuse is approved, the Dean will decide on a new exam date for you, which will still be considered your first attempt.

Receiving a failing grade does not mean the end of your academic journey, but it does require you to take a makeup exam. According to the general rules:
- Second date: A new exam date is set, which is considered final.
- Decision-making authority: In most departments, the Dean sets the date for the retake.
Procedural differences (your department may have different rules):
Depending on which faculty you are studying at, the process for scheduling a retake may vary:
Unit Procedure for scheduling a retake Most Departments The deadline is set by the Dean. Collegium Novum You must submit an application to the Dean, which must first be approved by your advisor. The application should include a proposed new date. Collegium Heliodori Święcicki The new date is set directly by the Thesis Examination Committee. Collegium Policticum The supervisor sets the deadline for the revision Was this answer helpful? -

The rules for scheduling a retake are strictly defined in the regulations and depend on the date of your first attempt (or the scheduled date on which you were absent without an excuse).
The retake exam takes place within the following “time window”:
- At the earliest: 1 month after the date of the first exam.
- No later than: 3 months from the date of the first exam.
Why is this the case?
This period is intended to allow you additional time to prepare your answers or address any knowledge gaps identified by the exam committee during your first attempt.

In accordance with the rules in effect at our University, the graduation GPA is the arithmetic mean of all grades earned throughout the entire course of study.
This means that the following are taken into account:
- Exam grades.
- Grades from coursework (seminars, tutorials, labs, proseminars, etc.).
Key Information:
- Arithmetic mean: UAM uses the arithmetic mean, not the weighted mean. This means that each grade carries the same weight, regardless of the number of ECTS credits assigned to a given course.
- All stages: Grades from the entire period of study (all semesters) are included in the average.

- For degree programs that conclude with the submission of a thesis, the final grade is the sum of three components (rounded to two decimal places):
- 3/5 (60%) of the arithmetic mean of all grades earned during the program,
- 1/5 (20%) of the thesis grade (which is the arithmetic mean of the supervisor’s and the reviewer’s grades),
- 1/5 (20%) of the final grade on the diploma exam itself.
- Programs Without a Thesis Requirement
If your degree program does not require a thesis (which is common in some bachelor’s or engineering programs), the final grade is calculated as the sum of:- 3/4 (75%) of the arithmetic mean of all grades obtained during the course of study (rounded to two decimal places),
- 1/4 (25%) of the final grade on the graduation exam.
- Art programs requiring a thesis
For arts programs in which students are required to submit a thesis, the final grade is the sum of four components:- 3/6 (50%) of the arithmetic mean of all grades earned during the course of study (rounded to two decimal places),
- 1/6 (approx. 16.7%) of the thesis grade (which is the average of the supervisor’s and reviewer’s grades),
- 1/6 (approx. 16.7%) of the final grade on the theoretical portion of the diploma exam,
- 1/6 (approx. 16.7%) of the final grade on the thesis exam for the artistic portion.
- Art programs without a thesis requirement
If you are enrolled in an art program but your curriculum does not require a thesis, the final grade is calculated based on three components:- 4/6 (approx. 66.7%) of the arithmetic mean of all grades earned during your studies (rounded to two decimal places),
- 1/6 (approx. 16.7%) of the final grade on the theoretical portion of the diploma exam,
- 1/6 (approx. 16.7%) of the final grade on the diploma exam for the artistic portion
Note: All of these scores are ultimately rounded to two decimal places. Based on these scores, a verbal grade is entered on the diploma (e.g., a score above 4.60 is a “very good,” and up to 3.40 is a “satisfactory”).Was this answer helpful? - For degree programs that conclude with the submission of a thesis, the final grade is the sum of three components (rounded to two decimal places):

- The final verbal grade entered on the Adam Mickiewicz University (UAM) diploma is awarded based on the calculated academic score according to the following point thresholds:
- up to 3.40 – satisfactory
- above 3.40 to 3.80 – “satisfactory plus”
- above 3.80 to 4.20 – “Good”
- above 4.20 to 4.60 – “Good” plus
- above 4.60 – “very good”
- It’s worth noting that the final grade (when compared to the thresholds above) is rounded to two decimal places. The exact grade depends on which degree program you’re enrolled in:

As a general rule, you lose your student status and rights upon successfully passing your diploma exam (defense) with a passing grade.
However, the Adam Mickiewicz University regulations provide for one key exception:
- Graduates of first-cycle programs (bachelor’s or engineering) retain their student rights (including, among others, the right to discounts and benefits) until October 31 of the year in which they completed their studies.
- Graduates of second-cycle programs (master’s degrees) and integrated master’s programs lose their student status and rights immediately on the day of their thesis defense.
An important restriction regarding scholarships and financialaid: The extension of rights for first-cycle graduates does not include the right to apply for financial aid. As of the date of your thesis defense, you are no longer eligible for:
- social scholarship,
- disability scholarships,
- financial aid,
- the rector’s scholarship.
It is also worth remembering that the decision to grant the financial aid you have been receiving expires on the last day of the month in which you complete your studies.

No, you do not need to submit a physical photo for your diploma to the Student Services Office (BOS).
Currently, at Adam Mickiewicz University in Poznań, there is no longer a requirement to submit a traditional paper photograph for your diploma. This rule applies uniformly to all Student Service Offices (BOS) across the entire university. All student data and photos are retrieved electronically directly from the USOS system, which completely eliminates the need to bring physical photo prints to the office.
